Job Description

The Manager Mail/Fax Processing is responsible for directing and overseeing mailroom activities including the sorting and delivery of incoming mail, as well as the preparation and sending of outgoing mail, faxes to include shipping, assembly, deliveries, mailing and packaging and related functions.



Responsibilities

  • Responsible for daily operation of all mail and fax processing functions including inbound, outbound, quality control and any other identified functions.
  • Provides the following to the mail and fax teams on a daily basis: work prioritization, resource allocation, assure fully functioning equipment.
  • Provide coaching to mail and fax supervisors and team leads as required to optimize daily performance in processing mail and faxes.
  • Collaborate with leadership team as potential process improvement opportunities are identified; engage with leadership and CiOX team playing key role in development and implementation of improvements.
  • Develop, maintain and track all required mailroom metrics. Collaborate with BI team to automate performance metrics where possible.
  • Provide leadership in the identification and implementation of technological enhancements intended to optimize mail or fax processes.
  • Collaborate with IO leadership in areas such as operational strategy, department staffing, budget, productivity, quality and others as needed.

Qualifications

  • Excellent verbal and written communication skills
  • Excellent organizational and leadership skills coupled with analytical/critical thinking
  • 3-5 years of experience in managing operational teams and responsible for cross/multi-functions.
  • 3-5 years supervisory experience (Supervisors/Leads as direct reports)
  • Proficient in Microsoft and Windows applications.

  • Works well under pressure and is able to accomplish multiple tasks, with conflicting priorities and timelines.

Working conditions

  • Over 80% of the time is spent indoors, with protection from weather conditions.¬†Exposure to noise levels that may be distracting or uncomfortable is present 20% of the time depending on duties.

Physical requirements

  • Sitting, talking, hearing and near vision are required over 60% of the time, while walking is required about 40% of the time.
  • Standing is required over 30% of the time.
  • The sense of touch is required 90% of the time and reaching is required about 50% of the time.
  • Bending, twisting, and climbing are required, as is far vision for 50% or more of the time.
  • Low levels of lifting (10 pounds or less) are required about 25% of the time, while medium levels (20 to 40 pounds) of lifting and carrying are required more than 35% of the time.
  • High levels (52 pounds) of lifting with assistance are required 25% of the time.
  • Driving is also a portion of this position.
